Which documents are most critical to protect in an emergency, how to prioritise them, where to store originals and copies, and what to do if they are lost or destroyed.
Every major emergency — fire, flood, evacuation, disaster — creates an administrative crisis alongside the immediate physical one. Without identity documents, insurance records, and financial information, accessing support, claiming insurance, accessing benefits, and proving who you are becomes extremely difficult.
The preparation is simple: identify the critical documents, make copies, and store them in ways that survive the emergency. Done in advance, this takes a few hours. Left until after an emergency, it can take months to resolve.
Not all documents have equal urgency. Prioritise preparation in this order:
| Document | Why Critical | Action |
|---|---|---|
| Passport | Primary identity document; may be required for emergency services | Copy in go-bag; original in fire box or grab-ready location |
| Driving licence | Secondary identity; required for vehicle operation | Copy in go-bag; original in wallet |
| Birth certificate | Foundational identity document; required to replace other documents | Copy in go-bag; original in fire box |
| National Insurance / Social Security card/number | Required for government services, benefits, employment | Memorise the number; do not carry the physical card daily |
| Document | Why Critical | Action |
|---|---|---|
| Bank account details | Emergency access to funds; contact bank if cards lost | Account numbers on card in wallet; bank emergency number |
| Credit/debit cards | Immediate financial access | Physical cards in wallet; numbers backed up separately |
| Insurance policy numbers | Required to make a claim after the emergency | Copies in go-bag and fire box |
| Mortgage or lease documents | Required for insurance claims and rehousing | Account number + provider contact in go-bag |
| Document | Why Critical | Action |
|---|---|---|
| Medication list | Emergency treatment with unfamiliar doctors | Copy in go-bag; update whenever medications change |
| Allergies and conditions | Emergency care decisions | Copy in go-bag; on medical ID bracelet for serious conditions |
| Blood type | Trauma care | In medical record; note in go-bag |
| Vaccination records | May be required for shelter access | Copies in go-bag |
| Document | Why Critical | Action |
|---|---|---|
| Property deeds or title | Insurance claims; ownership proof | Originals in fire box; copies digitally |
| Vehicle registration | Insurance; proof of ownership | Copy in vehicle glove box; original in fire box |
| Wills and lasting power of attorney | Critical if a household member dies or loses capacity | Originals with solicitor; copies in fire box |
| Investment accounts | Access to savings and investments | Account numbers + provider contacts in secure digital backup |
The go-bag should contain copies of Priority 1 and Priority 2 documents in a waterproof pouch. These are the documents you will need in the first 24–48 hours of an emergency.
Original documents that cannot easily be replaced should be in a fire-resistant document box rated for at least 30 minutes at 843°C. This protects against house fires but not floods or forced evacuation.
⚠️ Fire-resistant does not mean fireproof. These boxes provide limited protection time. Water and smoke damage from fire suppression can still affect contents. Digital backup remains essential.
